3.3 Human Map™
The values you choose, your answers and your results. When you save your Map, we also keep your email address, a Map ID, the personal link to your dashboard, which product it is (such as Human Map™ Everyday, Human Map™ Pro or Human Map™ Perspectives), whether you asked for a PDF or a reminder and, where it applies, your launch offer credit code. If you save more than one Map with the same email address, we use your earlier Map to show you what has moved.

We also collect their answers, which are shown to you combined by group, with at least three people in each group.

8.  Emails and Marketing

We send service emails about things you asked for or bought, such as your saved results, your personal link, your PDF and confirmations. Reminder emails, such as "Time to map again", are only sent if you asked for them and each one has a link to stop them. We only send marketing emails, such as news and offers, if you have agreed to receive them. Every marketing email says it is from Humeia™ and has an unsubscribe link. We act on unsubscribe requests within 5 working days. This meets the Spam Act 2003 (Cth) in Australia and, for people in the United Kingdom, the Privacy and Electronic Communications Regulations (PECR).

We will get your express consent before we share your personal information with any third party for their own marketing.

You can stop marketing messages at any time by using the unsubscribe link in any marketing email, changing your preferences in your account or emailing support@humeia.me. Stopping marketing does not stop service emails about things you have bought.

9.  How We Use Artificial Intelligence

We use artificial intelligence (AI) tools to help develop our programme content, reflection tools, marketing materials and business documents. This section explains how AI is used and how your personal information is protected.

9.1 AI tools we use
We use commercially available AI tools, including Claude by Anthropic, ChatGPT and other similar language and media tools, to help with content development and business operations.

9.2 What we never do with AI
•  We do not enter your personal information, including your name, email address, answers, results or programme information, into any AI tool.
•  We do not use AI to make automated decisions about you.
•  We do not use AI to create or guess personal information about you.

9.3 How your results are worked out
Your Clarity Snapshot™ and Human Map™ results are calculated mathematically from your answers. They come from your own responses, not from an AI system.

9.4 How programme content is developed
Our practice content, videos and reflection tools are developed by Karen Bachmann, with AI as a drafting and research assistant. All content is reviewed, approved and finalised by a person.

9.5 How our online tools are built
Our online tools, including the Clarity Snapshot™, Human Map™, Formation Companion™ and Shaped by You™, were designed by Karen Bachmann and built with AI as a coding assistant. When you use them, no AI is involved. Your answers are worked out by fixed rules written into each tool, partly in your own browser and partly by Google Apps Script. Nothing you enter into our tools is sent to any AI service.

9.6 AI features on our platform
Our platform, Zenler, can provide AI-powered features. We do not currently switch on AI-powered features for customers. If we do in future, we will update this policy before they go live to explain what information they use and how it is protected.

9.7 What this means for you
Your personal information stays within the platforms we use to run our services: Zenler, ScoreApp, Google (Sheets and Apps Script) and Resend. It is not shared with AI providers. We apply human oversight to all AI used in our business, which is consistent with everything we teach and value.

10.  Sharing Your Human Map™

You can choose to share your Human Map™ with a person you name, such as a coaching partner or mentor. We email that person a link and you give them a share code yourself. They can only open your Map with both and only until the date you choose. You choose whether they see a summary or your full Map. You can see who you have shared with and when they last opened it and you can stop sharing at any time from your Human Map™ dashboard. We never share your Map unless you choose to.

The Human Map™ is a personal reflection tool, not an assessment. It must not be used for hiring, performance, promotion or pay decisions.

11.  Who We Disclose Information To

Your personal information will never be sold or rented. We only disclose it to the people and organisations below and only for the reasons shown.

12.  Overseas Disclosure and International Transfers

Some of our service providers are overseas, so your personal information is likely to be held in the United Kingdom, the United States and other countries where Google, Amazon, Stripe and PayPal have data centres. Before we disclose information overseas, we take reasonable steps to make sure the provider handles it in line with the Australian Privacy Principles.

If you are in the United Kingdom or the European Economic Area, countries outside those areas do not always offer the same protection, so we make sure at least one of these safeguards is in place:

•  Zenler, based in the United Kingdom, processes your information for us under a data processing agreement.
•  We only transfer information to countries the European Commission or the UK Government has found to give adequate protection.
•  For providers in the United States, we rely on their certification under the EU-US Data Privacy Framework (and its UK extension) or on standard contractual clauses approved by the European Commission, in their data processing agreements.

If none of these safeguards is available, we will ask for your explicit consent to the transfer and you can withdraw that consent at any time. Email support@humeia.me if you would like more information about the safeguard we use for a particular transfer.

13.  Data Security

We have put security measures in place to stop your personal information being lost, misused, accessed without permission, changed or disclosed. Only people who need it for their work can see your personal information. They may only use it on our instructions and must keep it confidential.

Your saved results and Formation Companion™ entries can only be opened with your personal link. Shared Maps also need a share code and a share stops after five wrong codes. Where we can, we store a scrambled version of your email address instead of the address itself, for example to match your Maps. Deleting your Maps needs you to confirm by email.

We use encrypted, secure platforms. No system is completely secure, but we take reasonable steps to protect your information.

Data breaches If a data breach is likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner (OAIC) and explain what you can do. If you are in the United Kingdom or Europe, we will also notify the relevant regulator where the law requires it.

14.  How Long We Keep Information

We only keep your personal information for as long as we need it for the purposes we collected it for, including legal, accounting and reporting duties. When deciding how long, we consider how much information it is, how sensitive it is, the risk of harm if it were misused and whether we can achieve the purpose another way.
Information How long we keep it
Saved Clarity Snapshot™ results, including any wellbeing score 12 months from when you save them. Anonymous counts are kept.
Saved Human Map™ (buyers) 12 months from when you save it
Members' Human Maps™ and Formation Companion™ entries While you are a member and for 12 months after your membership ends
Shares of your Human Map™ Until the share ends or you stop it. Shares are also deleted when your Map is deleted
Purchase records (name, contact details and what you bought) 5 years, because Australian tax law requires it
Anonymised research answers They cannot be linked to you, so they may be kept and used without further notice and cannot be withdrawn once given

You can ask us to delete your saved results sooner at any time.

15.  Your Rights

In Australia you have rights under the Privacy Act 1988 (Cth) and the Australian Consumer Law. If you are in the United Kingdom or the European Economic Area, you have further rights under the UK GDPR or the EU GDPR.

You can:

•  See your information. Ask us for a copy of the personal information we hold about you.

To use any of these rights, email support@humeia.me. You can read more about your rights on the OAIC website at www.oaic.gov.au

There is no fee to access your personal information or use any of your other rights. If a request is clearly unfounded, repeated or excessive, we may charge a reasonable fee or decline it and we will explain why.

We may ask you to confirm who you are first, so we never give your information to someone who has no right to it. We may also contact you to ask for more details to speed up our reply. We reply within 30 days. If your request is complex or you have made several requests, it may take longer and we will tell you and keep you updated.

16.  Third-Party Links

Our website may include links to other websites, add-ons and apps. Clicking those links or turning on those connections may allow others to collect or share information about you. We do not control these websites and are not responsible for their privacy policies. When you leave our website, we encourage you to read the privacy policy of every website you visit.

17.  Cookies On Your Device

We use essential cookies so our website works, analytics cookies (Google Analytics) to understand how people use it and advertising cookies (Google Ads and Meta Pixel) to measure and show relevant advertisements. You can set your browser to refuse all or some cookies, but some parts of our website may then not work properly. Our Cookie Policy explains this in full.

Information kept on your own device
While you answer the Clarity Snapshot™ or the Human Map™, your answers are kept in your own browser, on your device, so you can stop and come back. Your device also remembers your personal link, so My Human Map™ can open your Map straight away. None of this is sent to us until you choose to save. You can clear it at any time by clearing your browser's site data. Formation Companion™ entries are different: they are saved to us as you write them, so they are not lost if you clear your browser or change devices.

18.  Age Limits

Our services are for adults aged 18 and over and are not directed at anyone under 18. By giving us your information, you confirm that you are 18 or over. We do not knowingly collect personal information from anyone under 18. If you believe we have, please contact us and we will delete it promptly.

19.  Keeping Your Information Up To Date

It is important that the information we hold about you is accurate and up to date. Please let us know if your details change, by emailing support@humeia.me or updating your profile in your account.

20.  Complaints and Regulators

If you have a concern about how we collect or use your personal information, please contact us first at support@humeia.me so we can put it right. We will reply within 30 days. If you are not happy with our reply, you can complain to the relevant regulator:

•  Australia: Office of the Australian Information Commissioner (OAIC), www.oaic.gov.au or 1300 363 992
